Pilot FAQ
Clear answers,
before you plan.
What the pilot does, how changes reach your team, and what still needs a little care.
Access & support
How do I get access?
Create a free pilot account with your company name, username, and password. Save the recovery code shown after signup. Your company starts empty, with guided steps to add your team, locations, and coverage needs. Employees join through a private invitation from their manager.
Does adding an employee send an invitation?
Adding an employee creates a scheduling profile. Open that saved profile and choose Invite employee, then Create invitation link. Copy the link and share it with the right employee. It expires after 48 hours, works once, and is replaced if you create a new link. No email or text is sent automatically.
What does the pilot cost?
This is free early access. Signup does not request payment or purchase a subscription. Any future paid offer will be presented separately before you choose whether to subscribe; no paid price or trial duration is announced here.
How do I recover access?
Choose Forgot your password? on the sign-in screen. Enter your username, saved recovery code, and a new password. Save the replacement code: the old code and existing sessions are invalidated. Then sign in with your new password.
No reset email is sent. If you lose both your password and recovery code, automatic email recovery is not available. Keep the code private and stored safely.
Published schedules
Why does an employee still see the old shift?
Employees see the published schedule, not the manager’s draft. If you saved a change without publishing it, their view will not change. After publication, ask them to reload their schedule.
Can I publish a schedule when I’m short-staffed?
Yes, after explicitly acknowledging the coverage gap. Blocking scheduling conflicts still need to be fixed and cannot be overridden. Publishing does not find outside staff or contact a replacement for you.
Will my team receive an email or text?
No email, text message, or push alert is sent in this pilot. Publishing makes the schedule available in employee accounts. Use your usual communication channel to let people know about changes.
Can I remove all shifts from a published week?
Yes. An empty draft can replace a previously published schedule after an explicit publication warning. That removes the old shifts from the employee view. A new empty week with no shifts and no coverage needs cannot be published.
Absences & hours
What happens when an absence is requested and accepted?
The request alone does not rewrite the schedule. Before accepting, the manager reviews a preview. Approval applies the previewed changes to the draft. Employees see them after publication, either as part of approval or later.
If the data changes after the preview, refresh it before confirming. Publication may also include other draft changes, which are shown for review.
Will ShiftMilo always find a replacement?
No. It can propose available, qualified team members within their configured limits. If nobody fits, the uncovered need remains visible. You decide whether to adjust the plan, arrange cover yourself, or acknowledge the gap and publish.
Does an absence create hours the employee owes?
The software does not automatically treat missed hours as hours owed. A weekly target is a planning goal. Optional additional hours are explored only after the manager confirms that the arrangement is authorized, enters a number of hours, and sets a deadline within 28 days after the absence.
Proposals use existing coverage needs. The app does not determine the legal status of an absence or whether an arrangement is legally permitted.
Pilot fit & limits
Which teams is this pilot for?
We’re starting with small, independent office-cleaning teams managing recurring work across client locations. The pilot is focused on scheduling, availability, and publication.
Can shifts cross midnight?
Not in this version. Each shift and coverage need must start and end on the same date. Confirm that this fits your work before using the pilot for your team.
Does the app manage different time zones?
Company time-zone settings are not available. Everyone on a pilot team must use the same local time. Choosing English changes display text and formats; it does not change the time zone. Native date and time controls may also follow your browser or device settings.
Is this time tracking or payroll software?
No. This pilot focuses on planning. Keep your existing tools for clocking in, payroll, leave policies, and other HR administration.
Does it certify labor-law compliance?
No. It checks the scheduling limits, availability, skills, and travel buffer you configure. These checks do not certify legal compliance or replace your own review of applicable requirements.
AI & voice
Do I need the AI assistant to prepare a schedule?
No. The guided planning controls can prepare a proposal from your configured coverage needs and rules. You can also create and edit shifts manually.
Can I write to the assistant in English or French?
Yes. The text assistant is available in English and French. Always review its response and any proposed changes before applying them. It can misunderstand a request, and some error messages may still appear in French.
Dictation is available when the assistant is active and your browser supports speech recognition. Open Dictate my request, then choose Turn on microphone. Depending on the browser, its provider may process the audio. Review the transcript and choose Use as my draft; sending the request is a separate step. Physical microphone capture and transcription accuracy have not yet been validated across devices. You can always type instead.
Does the assistant publish changes automatically?
No. Suggested actions are presented for review. Saving changes and publishing them require the manager’s confirmation. A proposal is not a published schedule.
